How to Run a Better Off-Site Meeting

Getting the team out of the office only helps if the room, the agenda, and the technology are ready. Here is how to plan one that earns its afternoon.

An off-site meeting is a promise to your team: this time will be different. No drop-in interruptions, no half-attention. Keeping that promise takes a little planning. These are the things that make the difference between an afternoon people remember and one they endure.

Match the Room to the Meeting

Headcount and format decide the room. A working session for a handful of people belongs in a private meeting room that seats up to 15, where everyone can see the whiteboard. A leadership review or a training class for a larger group fits the boardroom, which holds up to 40. A company-wide presentation or an all-hands needs the conference space, which seats up to 200, with breakout rooms available when the group needs to split up and come back together.

Set the Seating for the Outcome

Send the agenda ahead of time with the decisions you need to leave with. Put the hardest item early, while the coffee is fresh and attention is high. Build in a real break; an off-site with no breathing room is just a longer meeting.

Remove the Small Frictions

Free parking, coffee that is already made, and WiFi that simply works sound minor until one of them fails. Choose a venue where they are included, so the first fifteen minutes are spent on the work rather than on logistics.
